Overview
The SmartAsset SDC interface has the ability to re-open jobs (permission based) but this functionality is not available in the Browser interface.
SmartAsset user profiles can now be configured to give access to specific roles to have access to the Job re-open capability but not be able to edit job details except for Remarks if required.
The re-open capability relies on user profile permissions being setup. User Profile permissions are setup by your system administrator.
If user permissions are set for a specific role where the Browser 'Job' function is set 'READ' and the 'Remarks' is set to 'WRITE', users with this role will have access to re-open jobs and edit Remarks.
Jobs do not have to be re-opened to add Remarks.
The purpose of re-opening a job is to notify specific personnel that this asset/job has not returned to service correctly and to record how many times the asset/job has failed to return to service.
Browser Job List
Click the Jobs button in the ribbon to open the jobs list, then click the History button (circled in red) to only view history Jobs.
Click the Actions (blue eye icon) button (circled in red) to open your Job to Re-open
- You can also click on the Job Title to open the Job
When the Jobs page is opened, a Reopen button (circled in red) will be displayed
- You can also click on the Job Title to open the Job
Click the Reopen button to open your Job
When your Job is reopened, the Job Status is set back to New (circled in red)
- If workflow is setup, an email will be sent to the appropriate person/group
Click the Remarks tab button (circled in red), edit your Remarks, the click Update Remarks
Alternate Method 1 – Quick Search
If the user knows the Job Number, they can enter the Job Number in the quick search field (circled in red), then click the Job Number to open the Jobs page as per the 2nd image below, then reopen the Job.
Alternate Method 2 – Job Filters
If the user knows the Job Number, they can open the Job History List and use 'Filters' by entering the Job Number in the Number filter field (circled in red), then click the Job Title or the Action blue eye icon to open the Jobs page as per the 2nd image below, then reopen the Job.
Special Notes
- The reopen function is controlled by user profile permissions.
- User profile permissions are setup by System Administrators
- Jobs can be reopened as many times as required
- When jobs are reopened, the job audit trail is updated so users can see how many time so jobs has been reopened.
- When a Job is reopened, notifications can be emailed to users or groups of users using Workflow rules.
