Jobs
Jobs are used to record detailed information against Assets for analysis, costing and reporting purposes.
To build a job a user must navigate to the desired asset and launch the Jobs form safs400. The jobs form requires a suite of mandatory fields to be completed before a system generated job number can be allocated. The job number is dependent on the selected job type.
Job Types determine how a job is to be identified for scheduling, analysis and reporting.
J – Jobs being created on the fly as required for general or reactive maintenance
P – Planned Jobs (Preventative maintenance Jobs generated from standard activities)
C – Capital Works Jobs for special maintenance tasks
When a job is being built mandatory fields such as Job Title, Shop, Activity Type and Activity Cause must be completed before being saved. Job Priority, Job Series, Estimated Start/End Dates and Elapsed Hours should also be set prior to saving. Job related information can be edited/updated when a job number has been assigned.
Once a job number has been assigned, optional information can be attributed to a job such as Checklists, Instructions, Library Attachments, Materials (Requisitions), Resources etc.
- Jobs are represented by a Tool Kit in the workbench.
Job Build 1
1. Navigate to your to Asset where you want to build a Job
2. Hover the mouse over your Asset, click the right mouse button to display a pop up box, slide the mouse down to New (circled in red), then slide across to Job (also circled in red) and click the left mouse button to select
This action will open the Jobs form safs400 as per the image on the next page
3. Enter a Job Title as required (circled in red)
If the asset has standard activities attached, you can select the ‘Job Title’ down arrow browse and select <Ad-hoc Job> option or select an existing standard activity to build your job.
4. Set the Executing Shop if applicable or use the down arrow browse to change
5. Set the Activity Type if applicable or use the down arrow browse to change
6. Set the Activity Cause if applicable or use the down arrow browse to change
7. Click the Save button to record your information
The ‘Save’ will allocate your next job number according to your nominated Job Series
8. CLOSE the Job form by selecting the Windows close option
This will return you to the Workbench
Job Build 2 – Selecting Different Job Information
1. Navigate to your to Asset where you want to build a Job
2. Hover the mouse over your Asset, click the right mouse button to display a pop up box, slide the mouse down to New (circled in red), then slide across to Job (also circled in red) and click the left mouse button to select
This action will open the Jobs form safs400 as per the image on the next page.
3. Enter a Job Title for a Replacement type job as required (circled in red)
If the asset has standard activities attached, you can select the ‘Job Title’ down arrow browse and select <Ad-hoc Job> option or select an existing standard activity to build your job.
4. Set the Activity Type to Replacement. Click the Activity Type down arrow browse to select
5. Set the Activity Cause to Click the Activity Cause down arrow browse to select
6. Set the Job Priority to Click the Priority down arrow browse to select
7. Set the Executing Originator. Click the Executing Originator down arrow browse to select
The ‘Executing Originator’ is the person responsible for the Job.
8. Set the Estimated Start and Estimated End dates to a future date
9. Click the Save button to record your information
The ‘Save’ will allocate your next job number according to your nominated Job Series
10. CLOSE the Job form by selecting the Windows close option
This will return you to the Workbench
Job Build 3 – Additional Job Information
1. Navigate to your to Asset where you want to build a Job
2. Hover the mouse over your Asset, click the right mouse button to display a pop up box, slide the mouse down to New (circled in red), then slide across to Job (also circled in red) and click the left mouse button to select

Job Reference
The job reference tab is used to identify user-defined reference codes to be retained for a job for sequent job search/analysis procedures.
1. Click the References tab button (circled in red) to open the additional job related fields
Job Checklist
The checklist tab is a table used to identify a set of checklist items that are required to be carried out for a specific maintenance task.
Checklist Items may optionally be defined in terms of asset component codes and trigger codes whereby readings may be recorded directly into asset readings during job completion in order to drive preventative maintenance schedules and to provide historical readings for trend analysis etc...
If the job has been raised using a standard activity as a template, then the checklist from that standard activity are displayed. They may be altered for this job only, if required.
1. Click the Checklist tab button (circled in red) to open the Checklist form
Job Costs
The costs tab is used to view and interrogate the summary of job costs throughout the life of a job.
1. Click the Costs tab button (circled in red) to open the Costs form
Job Instructions
The instructions tab is a table used to retain unlimited instructions for a specific maintenance task. What is required to be done?
If the job has been raised using a standard activity as a template, then the instructions from that standard activity are displayed. They may be altered for this job only, if required.
1. Click the Instructions tab button (circled in red) to open the Instructions form
2. Click the mouse in the blank section of the Instructions, then enter your Instructions free text
3. Click the Save button to record your information
Job Library
The Library tab is used to attach specific electronic documents or pictures to a job for user access to assist them execution of the job.
If the job has been raised using a standard activity as a template, then the library attachments from that standard activity are displayed. They may be altered for this job only, if required.
1. Click the Library tab button (circled in red) to open the Library form
Job Materials
The materials tab is a table used to identify the materials (stocked & direct charge) that are required to carry out a specific maintenance task.
If the job has been raised using a standard activity as a template, then the materials from that standard activity are displayed. They may be altered for this job only, if required.
1. Click the Materials tab button (circled in red) to open the Materials form
Job Remarks
The remarks tab is a table used to retain unlimited remarks for a specific maintenance task. What was done?
1. Click the Remarks tab button (circled in red) to open the Remarks form
2. Click the mouse in the blank section of the Remarks, then enter your Remarks free text
3. Click the Save button to record your information
Job Requisitions
The requisitions tab is a table used to identify material purchases or inventory issues that are required to carry out a specific maintenance task.
Job Resources
The resources tab is a table used to identify the resources (man & machine) that are required to carry out a specific maintenance task.
If the job has been raised using a standard activity as a template, then the resources from that standard activity are displayed. They may be altered for this job only, if required.
1. Click the Resources tab button (circled in red) to open the Resources form
2. Click the Resource down arrow browse, then select you required Resource
3. Click the Save button to record your information
4. Click the Costs tab button (circled in red) to open the Costs form to view Estimated job costs
5. Click the Job tab button (circled in red) to open the main jobs form
6. CLOSE the Jobs form by selecting the Windows close option
This will return you to the Workbench
