Standard Activity Periodic Templates
Standard Activities can be used to define preventative maintenance requirements for an asset based on user-defined triggering mechanisms that are calendar based such as Days, Weeks, Months and Years.
Periodic based standard activity templates may include relevant information including checklist, material and resource requirements, instructions and reference to external documents via a library reference.
1. Navigate to your Asset where you want to build your Standard Activity template
2. Click the Assets tab button (circled in red), then select the Standard Activity button in the ribbon to open the standard activity form safs110 as per the 2nd image below
3. Add Standard Activity periodic template details using the sample below
- Enter a Job Title
- Select a Shop Id by using the down arrow browse
- Select an Activity Type by using the down arrow browse
- Select an Activity Cause by using the down arrow browse
- Select the Job Priority
- Select the Job Series
- Enter Estimated Elapsed Hours (duration to perform the activity)
4. Click the Save button to record your information and allocate the next sequential standard activity number (circled in red)
Standard Activity Checklists
The Standard Activity ‘Checklist’ form is a table used to identify a set of checklist items that are required to be carried out for a specific maintenance task.
When checklist items are entered, they assigned a sequence number which is used to determine the sequence each item should be completed in.
Checklists can be entered as free text or optionally be defined in terms of asset code and trigger codes whereby readings may be recorded directly into the trigger reading form during job completion in order to drive preventative maintenance schedules and to provide historical readings for trend analysis etc...
5. Click the Checklist tab button (circled in red), to open the Checklist form
6. Click the Expand button (circled in red) to open the checklist detail form
7. Click in the Prompt field and enter appropriate information as per the image below
8. Set the Mandatory option as per the image below. The ‘Mandatory’ option forces a user to enter data during the job completion process
9. Click the Format down arrow browse and select Check
The ‘Format’ of check means that a user must click a checkbox during the job completion process
10. Select the Accept button (green tick)
11. Click the Save button to record your information
12. Click the Expand button (circled in red) in the next blank row to open the checklist detail form as per the 2nd image below
13. Click in the Prompt field and enter appropriate information as per the image below
14. Set the Mandatory option as per the image below

16. Click the Format down arrow browse and select Check
The ‘Format’ of check means that a user must click a checkbox during the job completion process
17. Select the Accept button (green tick)
18. Click the Save button to record your information
Standard Activity Instructions
Instructions are generally used as a set of standard work instructions/procedures to be carried during a maintenance task. Instructions is a free text field allowing simple data entry.
Users can copy and paste information into the standard activity instructions form.
1. Click the Instructions tab button (circled in red)
2. Click the free text area and Enter your Instructions
3. Click the Save button to record your information
Adding Library Attachments
Library Attachments is used to refer to external electronic documents associated with a specific Standard Activity. These documents are then available for review and/or printing during the job build process.
Library Attachments can be Word Documents, Excel Spreadsheets, PDF files, JPEG files or any other user definable application.
1. Select the Library tab button (circled in red) to open the
2. Click the Library Type down arrow browse, then select Word Document (circled in red)
3. Click the Object browse icon (circled in red) and locate your file, then select Open
When the ‘Word Document’ library type has been selected, the Object browse will know the file extension type. The file name cannot be found, change the display to ‘All files (*,*)’ to view all available files.
4. Enter a Comment (circled in red) which is the common name of the document that users would understand will be visible in the workbench.
Because the ‘Library Type’ is set to Word Document, this document will automatically print out with the job ticket.
5. Click the Save button to record your information
Standard Activity Resources
Resources are used to identify what resource/s classification is required to carry out a specific maintenance task. Resources may also be plant items such as cranes etc.
Standard Activity resources can be used to forecast usage and budgeting requirements.
1. Click the Resources tab button (circled in red) to open the Resources form
2. Click the Resource down arrow browse, then click your Resource (circled in red) to populate that resources form as per the 2nd image below
3. Click the Save button to record your information
Viewing Standard Activity Costs
When Resource and/or Material costs are posted against a Standard Activity, they are recorded as Estimated Costs are made visible in the main Standard Activity tab form.
When a Standard Activity is converted into a Job, estimated costs are automatically copied into the maintenance job.
1. Click the Standard Activity tab button (circled in red)
2. VIEW Standard Activity costs.
- Cost Type of L is for Labour, M for Materials, R for Resources and O for Other
3. CLOSE the Window close option
This will return you to the Workbench
Standard Activity Periodic Triggering
Calendar or Periodic based Standard Activities require 3 core parameters when setting up triggering.
- Trigger Date
- Trigger Code
- Interval
1. Ensure that you are still navigated to the correct Asset where you built your Periodic standard activity
2. Double click the left mouse button on your desired Asset (circled in red) where you want to trigger your standard activity
When an asset code is selected, it will open the Asset form safs090 as per the 2nd image below
3. Click the Std Activities tab button (circled in red) to open the asset standards form to trigger your standard activity.
4. Enter your ‘Periodic’ Standard Activity No. in the next blank field (circled in red) and press the Tab key to expand the form as per the 2nd image below
5. Select the Trigger Date down arrow browse, then select your required Trigger Date from the displayed calendar as per the 2nd image below
6. Click the Trigger Code down arrow browse, then select your required periodic Trigger Code (circled in red) as per the sample image below
7. Enter the Interval value (circled in red) for this periodic Standard Activity as per the sample image below
8. Select the Accept button (green tick)
9. Click the Save button to record your information
10. Select the Windows close option
This will return you to the Workbench
