This section allows the company users to initiate a request to add new employees by completing an online employee registration process.
1. Access the add new employee page
- Add new employee page is accessed via the left sided navigation by clicking Employees --> Add new employees.
- Alternatively, add new employee page can be accessed via the company dashboard --> Add new employee hyperlink.
2. Requirement for employee registration
The following details are required to be submitted:
- Employee's personal and contact details
- Employee's next of kind details
- Employee's photo
- Employee's photographic identification document
Note:
- All supplied information is reviewed by Damstra and once approved the employee will be added to the company's account.
- Click begin button to initiate the employee registration process.
3. Employee details
This section allows user to add employee details i.e:
- Personal details
- Contact details
- Residential address
- Next of kin
Note:
- Click next button to continue the registration process.
4. Photo and ID
This section allows user to add employee's photo and photographic identification documents.
- Photo
- Photographic identification documents e.g.
- Passport
- Driver's licence
- Photo card ID
- Other authorised photo ID
1. Requirement for photo
To add a new employee in the company portal, a photo must be provided for identification purposes. Therefore, the photo should meet all of the requirements listed below:
- Good-quality, colour image
- Eyes open and clearly visible
- No "red-eye" and no reflections on glasses or face.
- Show no head coverings (e.g. hat or sunglasses) except for religious purposes.
- Images must be JPG, JPEG, PNG, BMP, PDF, DOC, DOCX, or TIF and a maximum of 2MB each.
2. Requirements for photo identification card
A proof of identification must be uploaded in the company portal to confirm the new employee being
submitted and to approve their booking or registration. This can be a driver’s licence, passport, photo
card ID, or an authorised photo ID such as the Marine Licence – Victoria Australia.
To avoid this document being declined, you must meet the following requirements:
- Images must be JPG, JPEG, PNG, BMP, PDF, DOC, DOCX, or TIF and a maximum of 2MB each.
- Do not upload multiple photo identifications in one file.
- For contractor registrations, driver’s licences should be no more than 2 years expired; passport photo card IDs should be up-to-date.
- For online bookings, all photo IDs should not expire on or before the induction.
- Upload the front and back of each photo ID in one file or in separate files.
Note:
- Click next to proceed to the next step of the registration process.
5. Final details and send
This section allows the company users to submit any additional information of the employee before sending it for approval to Damstra e.g.
- Department name
- Unique student identifier (optional)
- Custom ID number (optional)
- Click send for approval button to submit the registration application which will be reviewed by the Damstra staff.
6. Employee registration acknowledgement
The following message fill appear once the application has been successfully submitted.
Note:
- Click view all employees button to redirect the current session to all employees page.
- Click add another employee button to start a new employee registration process.
