If you have permission to schedule a health and safety session, you can do so by clicking the Schedule session button at the top of the Health & safety calendar screen. This will open the Schedule session screen with the sections as described below.
Once done setting the session up, click the Add session button at the bottom of the screen.
Schedule & session
In the Schedule & session section, you can specify the following details for the session:
- Type - Pre-start, Toolbox talk or Training session
- Worksite - which worksite the session is related to. When selecting attendees for the session, you will only be able to select those associated with this worksite.
- Session name - a brief name or summary of the session
- Description - a more detailed description of the session
- Additional settings:
- This session can be managed within the mobile app by all members of this worksite:
Select this option if you want anyone who is member of the worksite specified above to be able to select the session in the mobile app, record attendees and upload attachments. - Session can be booked via the public website:
Select this option if the session can be booked via the Damstra website. - Enable competency rating for each attendee:
Select this option if after the completion of the session you would like to be able to mark each attendee as Competent or Not yet competent.
- This session can be managed within the mobile app by all members of this worksite:
Date, time and location
In the Date, time and location section, you can specify the following details:
- Session date, start and end time
- Recurrence - if you are scheduling a recurrent session, you can specify its frequency and end date of the series.
Note: When you set up recurrence for a session and save, the calendar saves individual sessions rather than a series. To make any changes afterwards, you will need to edit each session separately. - Total session time - use this field if not all hours between the session start and end time need to be counted, e.g., if there is a lunch break during the session that needs to be excluded.
- Session location - you can specify this, if necessary, after specifying the worksite in the section above.
Trainer/presenter
In the Trainer/presenter section:
- For an internal trainer/presenter, click Internal employee and then select a person from the drop-down list.
- For an external trainer/presenter, click External person and then type the trainer/presenter's name in the field.
Capacity
In the Capacity section, you can specify the maximum number of the session attendees. If you do, then later down the track when you start registering attendees, you will only be able to register up to this number.
Note that if needed, you can later adjust the session capacity or select No max attendee limit.
Topics & skills
In the Topics & skills section, you can specify the skills to add to the attending employees' profiles after they have attended this session. You can select multiple skills by clicking them one by one.
Note that after you save the session by clicking the Add session button at the bottom of the screen, next time you open the session details, you will see a separate Topics/skills tab where you can add more topics and/or skills and provide more details if needed, including uploaded relevant documents.
